HubSpot health check: a fixed-price audit of your portal

Something in HubSpot is off and you're not sure what, or what to fix first. My HubSpot health check is a fixed-price audit of your portal for $1,950. Data, properties, pipelines, lifecycle, workflows, reporting, permissions, integrations and licence fit, reviewed by a Wollongong-based HubSpot consultant. You get a written report with a ranked fix list and a 60-minute walkthrough, and the fee is credited if you go ahead with fix work within 30 days.

The problem

You know something's wrong. You don't know what to fix first.

HubSpot problems rarely announce themselves. They show up as a report nobody trusts, a workflow nobody dares turn off, or a renewal invoice that makes you wince.

The usual response is to fix whatever annoyed someone most recently. That's how portals end up with three lead routing workflows and a dashboard for every manager who ever asked. A health check stops the guessing. It looks at the whole portal once, ranks what's actually costing you, and tells you what each fix takes.

  • Reports that give different numbers depending on who built them.
  • Lifecycle stages that jump backwards for no obvious reason.
  • Thousands of contacts with no owner, no company or no email.
  • Workflows firing emails nobody can explain.
  • Integrations creating duplicates every night.
  • Paying for a tier or seats you might not need.
What I check

What the HubSpot audit covers

Nine areas, reviewed against how your business actually sells and serves customers.

Data quality

Duplicates, missing owners, contacts with no company, bounced and junk records, and how the bad data is getting in.

Properties

Duplicate and empty custom properties, free text where a dropdown belongs, and fields nobody can define.

Pipelines

Deal and ticket stages, required fields and line items, and whether the stages match how you actually sell and deliver.

Lifecycle

Lifecycle stages and lead status: what sets them, whether they move the right way, and whether marketing and sales agree on what they mean.

Workflows

Every active workflow: what it does, whether it clashes with another, whether it still makes sense, and who owns it.

Reporting

Dashboards and reports checked against the questions leadership actually asks. Which numbers can be trusted and which can't.

Permissions

Users, super admins, teams and seat types. Leavers who still have access. Who can export your whole database.

Integrations

Connected apps, Zaps and custom integrations: what they write to HubSpot, whether they create duplicates, and whether anyone would notice if they stopped.

Licence fit

Hubs, tiers and seats against what you actually use. I'll tell you which HubSpot tier you actually need, including when a cheaper one will do.

What you get

A written report and a ranked fix list

Not 60 pages of screenshots. A clear report that ranks every problem by impact and effort, so you know what to fix first and what can wait.

  • Written report covering all nine areas
  • Ranked fix list with impact, effort and who could do each fix
  • Quick wins your team can do this week
  • Licence and seat recommendations
  • 60-minute walkthrough, on site in the Illawarra or by video
  • Fee credited if you go ahead with fix work within 30 days

I don't change anything in your portal during the check. You get the full picture first, then decide.

How it works

How the HubSpot health check runs

Short call

We talk about your business, which hubs you use and what's bugging you most, so I know where to look hardest.

Access

You add me as a user in your portal. I review it without changing anything.

Review and report

I work through all nine areas and write up the ranked fix list. Most checks are done within two weeks of access.

Walkthrough

60 minutes on the findings with you and anyone else who needs to hear them. Then you decide what to fix, and who fixes it.

Who it's for

Health check or the full systems audit?

The health check looks inside HubSpot. The Systems & Marketing Audit ($4,950, 2 weeks) looks at the whole business: every tool, process and handover, plus your marketing from first click to invoice. If HubSpot is the problem, start here. If you suspect the problem is bigger than HubSpot, start with the audit. Both are on the pricing page.

The check is done remotely, so it works for portals anywhere in Australia. If you're in Wollongong or the Illawarra, the walkthrough can be in person.

Good fit

  • Portals more than a year old that nobody has reviewed
  • Managers inheriting a portal they didn't build
  • Businesses about to renew HubSpot or change tiers
  • Teams planning a migration, integration or AI project on top of HubSpot

Not a fit

  • You need one thing fixed today. Book an advisory hour ($350) instead.
  • You're not on HubSpot. The Systems & Marketing Audit covers other tools.
  • You already know exactly what's wrong and just need it done
FAQ

HubSpot health check FAQs

How much does a HubSpot audit cost?

My HubSpot health check is $1,950, fixed. That covers the review, the written report and the 60-minute walkthrough. If you go ahead with fix work within 30 days, the fee is credited against it.

What does the health check cover?

Data quality, properties, pipelines, lifecycle stages, workflows, reporting, user permissions, integrations and licence fit. Each area gets findings, and every finding goes into one ranked fix list with impact and effort.

How long does it take?

Most health checks are done within two weeks of getting access, depending on the size of the portal. The walkthrough is booked as soon as the report is ready.

Do you need admin access?

I need a user who can see settings, workflows, integrations and reports, which in practice means super admin rights for the review. Nothing changes during the check, and you can remove my access as soon as the walkthrough is done.

Can our own team do the fixes?

Yes. That's the point of ranking the list. Your team can take the quick wins, and you can hand the bigger items to me or anyone else. The report is written so a capable internal admin can follow it.

How does the 30-day credit work?

If you go ahead with me on fix work from the report within 30 days of the walkthrough, the $1,950 is credited against that work. If you don't, you keep the report and use it however you like.

What happens after the health check?

You choose. Fix it in-house using the report, hand specific items to me as a fixed-price project, or put the portal on the HubSpot admin retainer ($2,800 a month for 8 hours) and work down the list month by month.

Will you tell us if we're on the wrong HubSpot tier?

Yes. Licence fit is one of the nine areas. I'll tell you which HubSpot tier you actually need, including when a cheaper one will do, and which seats could be downgraded or removed.
