Outsourced HubSpot admin, senior and part time
Need a HubSpot admin but not a full-time hire? I'm a Wollongong-based HubSpot administrator on retainer: 8 hours a month of senior HubSpot admin for $2,800. Users, properties, pipelines, workflows, reports and data hygiene, handled by someone who designs and migrates portals for a living. Small jobs get done properly and big problems get spotted early.
Nobody owns your HubSpot
Most portals have an accidental admin. The marketing coordinator who got super admin rights on day one, or the sales manager who "knows HubSpot a bit". They're busy doing their real job.
So requests pile up. A new rep waits a week for access. A report request sits in someone's inbox. Workflows break quietly when a property changes. Data decays a few bad imports at a time. Nobody notices until the board report doesn't add up, or the one person who understood the portal hands in their notice.
- New starters waiting days for a login and the right permissions.
- Leavers who still have access months later.
- Property and pipeline changes made on the fly, breaking workflows and reports.
- Lists, forms and workflows nobody can explain, half of them called "Copy of".
- Duplicates and junk contacts creeping back in.
- Licence seats paid for and never used.
Full-time hire, agency, or a fractional HubSpot admin
Hire a full-time admin
Makes sense once you have a full week of admin work, every week. Most small and mid-sized portals don't. You also carry recruitment, onboarding, leave, and the risk they leave and take the knowledge with them.
Lean on an agency
Fine for campaigns. Often thinner on sales pipelines, quoting, service tickets and integrations, and you may get a different person each time you ask.
A fractional HubSpot admin
Senior hands for the hours you actually need. The same person every month, who knows your portal, your data and your team. Add hours in a busy month without hiring anyone.
What your HubSpot admin retainer covers
Eight hours a month, spent on whatever matters most that month. These are the jobs it covers.
Users and permissions
New starters set up with the right seats, teams and permissions. Leavers removed the day they go, with their records reassigned.
Property and pipeline changes
New fields, dropdown options, deal and ticket stages, done without breaking the workflows and reports that depend on them.
Workflows
New automation, fixes to old automation, and workflows with custom logic when you need them. Named, documented and tested before they go live.
Lists and segmentation
Lists and segments for campaigns, sales follow-up and reporting, built on properties you can trust.
Reports and dashboards
New reports, fixes to broken ones, and dashboards for the questions leadership actually asks.
Data hygiene routine
A monthly pass over duplicates, missing owners, bad imports, bounced emails and junk contacts. The same routine as my free CRM data hygiene checklist.
New integrations
Connecting a new marketplace app, or a light Zapier job. Bigger builds are quoted separately as HubSpot integrations.
Training new staff
Short role-based sessions for new reps and marketers, on site in the Illawarra or over video, so they use HubSpot properly from week one.
Monthly health report
A short written report each month: what changed, what's broken, what's at risk, and what I'd do with next month's hours.
HubSpot admin pricing
All prices AUD. No GST is added. HubSpot licences are paid to HubSpot directly.
HubSpot admin retainer
- Senior HubSpot admin, same person every month
- Everything in the list above
- Monthly health report
- Extra hours at $350
- 3-month minimum, then month to month
Extra hours
- For busy months and one-off pushes
- Same rate as the retainer hours
- Agreed with you before I use them
Start with a health check
- Full portal review
- Ranked fix list to plan the first months
- 60-minute walkthrough
- Fee credited if you go ahead with fix work within 30 days
Bigger projects, like a migration or an integration (both from $7,500), are quoted separately so they don't eat your monthly hours. All rates on the pricing page.
How the HubSpot admin retainer runs
Onboard
I get a user in your portal with the permissions the job needs, review the setup and agree a backlog of priorities with you.
Plan the month
A short call at the start of each month to agree where the hours go. Urgent things jump the queue.
Requests
Your team sends requests to one place, by email or a shared Asana board. I acknowledge them within one business day.
Report
A monthly health report: what got done, hours used, what's at risk and what's next.
Where 8 hours of HubSpot admin goes
An illustration, not a timesheet from a real client. Every month is different.
| Job | Hours |
|---|---|
| Two new starters set up, one leaver removed and their deals reassigned | 0.5 |
| New deal stage and two properties for a new product line, with workflows and reports updated to match | 1.5 |
| Fix a lead routing workflow that stopped assigning website enquiries | 1 |
| Build a quotes-sent-versus-won dashboard for the Monday sales meeting | 1.5 |
| Monthly data hygiene routine: duplicates, missing owners, bounced contacts | 1 |
| Training session for a new sales rep, including prep | 1 |
| Monthly health report and planning call | 1.5 |
| Total | 8 |
Who a part-time HubSpot administrator suits
The retainer suits teams with a steady trickle of HubSpot changes and nobody senior to own them. It works especially well straight after an implementation or migration, when the portal is clean and the job is keeping it that way.
Most of the work happens remotely inside your portal, so it suits businesses anywhere in Australia. I'm based in Wollongong, so training and planning sessions can be in person across the Illawarra.
Good fit
- Portals with no clear owner, or an accidental admin who has had enough
- Businesses fresh out of an implementation or migration
- Teams on Sales Hub, Service Hub or Marketing Hub with regular change requests
- Owners who want a senior person to call, not a ticket queue
Not a fit
- You need someone in the portal 40 hours a week. Hire one.
- You want campaigns run and emails written. That's marketing, not admin.
- Nobody internal can approve changes
HubSpot admin retainer FAQs
How much does an outsourced HubSpot admin cost?
My HubSpot admin retainer is $2,800 a month for 8 hours, which works out at $350 an hour. Extra hours are $350 each. There's a three-month minimum, then it runs month to month.
Why is there a three-month minimum?
The first month includes learning your portal, your data and your team. By month three you're getting the real benefit: someone who knows where everything is and why it was built that way. After that it's month to month.
What if we need more than 8 hours in a month?
Extra hours are $350 each, agreed with you before I use them. If you're regularly well over, we'll look at whether a one-off project or the Partner retainer, 20 hours a month for $7,500, makes more sense.
How is this different from your Advisor retainer?
The Advisor retainer ($3,500 a month for 8 hours) covers strategy, marketing, systems and AI across the business. The HubSpot admin retainer is focused on keeping your portal running and improving, which is why it's priced lower.
Do you need super admin access?
I work through a named user in your portal with the permissions the job needs. Some tasks, like managing users, need super admin rights. You stay the account owner and can switch my access off at any time.
Which HubSpot hubs and tiers do you work with?
Sales Hub, Service Hub, Marketing Hub and the HubSpot CMS, from Starter to Enterprise. Some features, like custom objects, depend on tier. I'll tell you when a request needs a tier you don't have, and whether it's worth paying for.
Can you train our new staff?
Yes, and it's one of the best uses of the hours. Short role-based sessions on site in Wollongong and the Illawarra, or over video. For a whole team at once, a half-day workshop is better value.
